History of the Company
Caxtons is a general practice firm of Chartered Surveyors with several offices in Kent. We have branches in Gravesend, Gillingham and Canterbury. Gravesend is the Head office where approximately 60 people are employed. The office mainly deals with the management of clients’ properties and the provision of professional property services. In total the company has in the region of 90 staff.
The company was formed in 1990 but, through its previous partnership, traces its roots in Gravesend back to 1770.
Regulated by RICS.

JOB SPECIFICATION
Position: Part-Time Secretary
Department: Professional/Commercial Agency/Property Management
Location: 1 Castle Street, Canterbury Kent CT1 2QF
Responsible to: Daniel Thackray
Remuneration: Salary to be commensurate with experience. The salary will be paid monthly in arrears by credit transfer on 25th day of each month or the nearest working day thereafter.
Purpose: To carry out secretarial duties for Professional/Commercial Agency and Property Management Departments
Brief Summary of Duties:
Audio & Copy Typing, collating and binding reports, dealing with telephone enquiries for all departments, email enquiries, invoicing, filing maintaining databases, organising departmental post, opening departmental post.
Computer Packages:
Word, Excel, Outlook - essential
Skills:
Proficient typist - audio and copy, good communicator, work on own initative, attention to detail.
Experience: Preferable but not essential
Qualifications: GCSE English & Maths minimum
Personal Qualities: Good interpersonal and multi-tasking skills are essential
OTHER INFORMATION
Hours: Working hours are such as reasonably necessary for the proper performance of your duties subject to a minimum of 16 hours each week. Your normal working times are Tuesday to Friday 10.00 am to 3.00 pm with one hour for lunch. We may require these hours be extended to include Mondays and this will be reviewed at month 3, 6, and 9.
Training: Appropriate in-office training will be provided for which additional, remunerated hours, may need to be worked.
Holiday Entitlement: The holiday year runs from 1st January to 31st December. In each holiday year the holiday entitlement will be 20 holiday days, and after one year's service one additional days holiday for each full year of service completed by 31st December in each year up to a maximum of 5 additional days. The leave allowance for part-time staff is pro-rated to the full time basis. Probationary Period: The first three months of employment will be probationary.

Purpose: To manage own portfolio of residential sites comprising approx 1000 units covering South East London to Medway Towns.
Brief Summary of Duties:
Arranging repairs, Maintenance, Services; Carrying out site visits; Liaising with Freeholders and RMC Directors; Preparation of Budgets; Attending out of hours AGM's; Dealing with arrears; Working knowledge of relevant legislation; office administration; Liaising with solicitors; On site health and safety; Fully understand S20 consultation.
Computer Packages:
Word, Excel, Outlook - desireable.
Skills:
Clean driving licence and own car. To work on their own initiaive and as part of a team, excellent interpersonal skills and sound IT skills.
Experience: Essential
Qualifications: GCSE English & Maths minimum and ARMA (IRPM)
Personal Qualities: Enthusiastic, flexible, willing to learn new skills, ability to work well in a small team and to work under pressure.
OTHER INFORMATION
Hours: Working hours are such as reasonably necessary for the proper performance of your duties subject to a minimum of 37.5 hours each week. Our normal working times are Monday to Friday 9.00 am to 5.30 pm with one hour for lunch. Residential meetings will be out of hours and these are essential ( The position entails dealing with Clients and Residential Associations who require the manager to attend their AGM's and occasional residents meetings to discuss site problems or future work etc and these are often in the evening)
